SUSTAIN 2026 – Final Paper Submission Guidelines
Authors of accepted papers are requested to carefully follow the instructions below when preparing
and submitting the final camera-ready manuscript.

1. Prepare the Final Manuscript

IEEE Template: Use the official
IEEE Conference Paper Template
provided on the SUSTAIN 2026 website. Do not modify the prescribed fonts, margins, column
widths, spacing, or other formatting specifications. Remove all instructional or sample text
included in the template.

Page Limit: The final paper must not exceed 6 pages, including
references. Authors are encouraged to limit the main paper content to 5 pages
and use the 6th page for references ONLY.

Similarity: In accordance with the SUSTAIN 2026 publication policy, the overall
similarity index must not exceed 20%.

Self-Citation: Excessive self-citation should be avoided.

Originality and AI-Generated Content: The manuscript must represent original
work and must not contain plagiarized, copied, improperly attributed, fabricated, or undisclosed
AI-generated scientific content. Any use of AI-generated content must comply with the applicable
IEEE policy, including disclosure where required. Authors remain fully responsible for the
originality, accuracy, integrity, references, figures, data, equations, results, and conclusions
presented in the paper.
2. Check References, Figures, and Author Information

References: Use the IEEE numbered citation style [1], [2], [3], etc. Every
reference must be cited in the manuscript, and every in-text citation must have a corresponding
reference entry.

DOIs: Include the DOI for every reference for which a DOI exists. Authors must
verify the accuracy and relevance of all references and bibliographic information.

Figures and Tables: Ensure that all figures, photographs, plots, and tables are
clear, readable, numbered, captioned, and cited in the text. Authors are responsible for
obtaining permission to reproduce copyrighted material.

Author Information: Carefully verify the paper title, author names and order,
affiliations, and corresponding-author information. These details must be consistent with the
SUSTAIN 2026 submission system (EDAS).
3. Add the IEEE Copyright Notice
The appropriate copyright notice must appear at the bottom of the first page of the
final manuscript. Select the applicable statement below:

Authors must also complete the IEEE Electronic Copyright Form (eCF) as instructed by
SUSTAIN 2026. Completion of the required copyright procedure is mandatory for publication.
Author details must be consistent across the final manuscript, the SUSTAIN 2026 submission system
(EDAS), and the IEEE Electronic Copyright Form.
4. Check the Final PDF Using IEEE PDF eXpress®
Every final manuscript must successfully pass IEEE PDF eXpress® before final
submission.

Authors may use PDF eXpress to either:
- check an existing PDF for IEEE Xplore® compatibility; or
- create an IEEE-compliant PDF from the manuscript source file.
Only a PDF that has successfully passed the IEEE PDF eXpress compliance check may be submitted as the
final manuscript.
Before checking the PDF, ensure that:
- all fonts are properly embedded;
- equations, symbols, figures, tables, and special characters display correctly;
- the PDF has no password or security restrictions;

no unnecessary attachments, crop marks, date/time stamps, or other non-template markings are
included; and
- no page numbers or unauthorized headers/footers have been added.
Important: Do not modify the PDF after it has successfully passed PDF eXpress.
Any subsequent modification may invalidate its IEEE Xplore® compliance.
PDF eXpress does not submit your paper to SUSTAIN 2026. After successfully
completing the PDF eXpress check, you must return to the SUSTAIN 2026 submission system and
upload the verified final PDF.
5. Final Submission Checklist
Before completing the final submission, please confirm that:

the manuscript follows the IEEE template (both for text and list of references) and does not
exceed 6 pages;

similarity is 20% or below and self-citation is within the
5% limit;
-
reviewer comments have been appropriately addressed;
-
title, author names, order, affiliations, and corresponding-author details are correct;
-
references, citations, and DOIs have been carefully verified;
-
the correct IEEE copyright notice appears on the first page;
-
the IEEE Electronic Copyright Form has been completed;
-
the final PDF has successfully passed IEEE PDF eXpress®; and
-
the PDF eXpress-verified file has been uploaded to the SUSTAIN 2026 final submission system.
6. No Changes After the Final Deadline
Authors must carefully review the final PDF before submission. No changes to the manuscript can be
guaranteed after the final submission deadline or after the proceedings have been submitted to IEEE.
Registration and Presentation
At least one author of each accepted paper must complete the applicable SUSTAIN 2026 author/full
registration in accordance with the conference registration policy.
Each accepted paper must also be presented at SUSTAIN 2026 in accordance with the
conference presentation policy. Papers that are not presented may be excluded from submission to IEEE
Xplore® in accordance with IEEE conference publication requirements.
Important: Acceptance of a paper does not automatically guarantee publication in
IEEE Xplore®. Final inclusion is subject to compliance with all SUSTAIN 2026 and IEEE
publication requirements, including manuscript preparation, originality and publication ethics,
copyright, registration, PDF compliance, and presentation requirements.
